Computer Equipment Practices Upon Retiring or Leaving A&S
Computers purchased with any WashU funds, including central, research, faculty research accounts, or departmental funds, are considered University owned and are generally expected to be returned upon departure. We encourage you to work with your IT representative to ensure you have everything you need during this transition.
Retiring or Departing Faculty and Emeritus Status
As esteemed members of our academic community transition to emeritus status or complete their tenure with the university, we aim to honor faculty contributions while ensuring a secure transfer of assets and resources. Below are the key guidelines for retaining and returning university-provided computers.
1. Guidelines for Faculty Retiring/Departing from All University Activities:
Faculty members who are retiring and will not continue as active emeritus faculty are expected to return all university-provided computer equipment by their final day of university employment. This helps ensure a smooth transition and proper transfer of resources. Please contact your Department's Support Rep to arrange returns.
2. Retention of one University-Provided Computer Allowed for Active Emeritus Faculty:
Faculty members approved for emeritus status and who plan to remain active in their academic pursuits may retain one existing university-provided computer for up to 3 years after receiving emeritus status. The computer remains university-owned. It continues to receive support from A&S IT services, ensuring access to updates, security patches, and technical assistance via your department's technician. Additional technology needs to be returned to IT or re-assigned to others.
When any computer reaches end of usable and supportable life, it should be returned to A&S IT. A&S IT will ensure the device is securely processed with all appropriate University Information Security best practices and record keeping.
Additionally, Emeritus faculty retain access to university email, library resources, and other key IT services, as per standard emeritus privileges.
3. Other Unique Experiences: Please Contact IT to Work on a Reasonable Solution
In A&S IT, we understand that not all situations are easily categorized. If you believe you have a case that requires a custom solution, please work with your IT contact and we can work with you on details. In rare cases, we may be able to facilitate a 'buy out' of the current market value on computer equipment to avoid having to list equipment as missing/stolen or as taxable income.
Retiring, Transferring, or Departing Staff
For those retiring, transferring to a position outside of A&S or otherwise departing WashU service from staff positions, any and all computer equipment is expected to be returned to A&S IT on or before the last date of employment in A&S.
When staff depart, please work with your Department's A&S IT support rep to process the equipment for retirement or re-use for incoming staff and record-keeping.
Returning staff computers allows A&S IT to ensure all best practices are achieved as it pertains to confidential data and environmental requirements of WashU.
